Privacy For Customers and Survey Respondents

Handling your personal information and data.

Overview

Qualia Analytics research and evaluation tools are used by our Customers; the people or organisations for whom we create surveys, and who conduct surveys online; and Respondents; the people who answer those surveys. The information we receive from Customers and Respondents, and how we handle this information differs. For this reason, we have split our Privacy Policy into two parts.

Respondents & Customers

IF YOU RESPOND TO QUESTIONNAIRE(S):

1. Questionnaires are administered by Qualia

We will host questionnaires on our servers or serve them to be displayed on a customer’s website. We process the responses you provide on behalf of the data controller. Sometimes they have their own privacy policy. If you have any questions about a questionnaire you are taking, please contact us (survey@qualiaanalytics.org).

If you think a survey violates our Terms of Use or may be engaging in illegal activity, please report it to privacy@qualiaanalytics.org.

2. Information we collect from you.

Each questionnaire will have different questions or personal identifiers. If a questionnaire contains specific questions on your name or email address, this will be collected as data. When you fill in a questionnaire, your computer IP address and other platform data will usually be collected. Platform data is collected both to troubleshoot problems with our service and to make improvements to it. We also infer your geographic location based on your IP address.

3. Anonymous responses

Institutions have an ability to anonymize surveys by hiding all personal information (IP addresses, names, addresses, emails) from the display and the analysis. This setting cannot be turned off once there is at least one response. If the setting is turned on the personal data may only be used to send you additional email reminders or randomly select a prize winner and request information where to send it.  Contact the data controller institution for the form in which you are participating for more information about your survey.

4. Data Retention Policy

Different institutions may have different data retention policies enabled. We allow institutions to automatically remove personally identifiable information (such as email addresses and names) once there are no upcoming emails scheduled. We will keep your responses to the survey until the institution requests the removal of data.

5. Your responses are kept private

Your personal information will not be transferred by Qualia to third party advertisers or marketers (although the questionnaire creator might, so check with them). As a data processor, Qualia acts as a custodian for your information on behalf of the questionnaire creator who will be your data controller.

If you are visiting from Europe, the data controller for the survey that you are participating in will be accurately identified in each form in an opt-in question or privacy notice messages.

6. Information stored by us

We store information about you (specified below) to provide the functionality necessary to invite and store survey responses.

– Survey question responses (what respondent have answered).
– Email information (email addresses, names to send invitations and reminders).
– Respondent metadata (to provide institutions with aggregate data about respondents)
– Information about your device (Operating system, browser used)
– Information about your location (IP address, geo-location information)
– Information about your visits (cookies, access logs)

7. Access and removal of personal data

Following GDPR requirements we have implemented a page for all survey respondents to access, delete or modify their own survey submissions.

You may access the Respondent Portal. You will need to type the email address you’ve used when completing a questionnaire. To verify your identity, we will send a link to your email address, and by clicking it, you will be able to access your completed surveys and modify your data.

If the questionnaire you have completed was anonymized or did not have any personally identifiable information, unfortunately, you will not have automated access to the questionnaire.

IF YOU ARE AN INSTITUTION WITH ACTIVE QUESTIONNAIRE(S):

Your questionnaires are private

We will process response data on your behalf and under your instructions (including the ones agreed to in this privacy policy). We treat your questionnaires as if they were private. We will only use the questionnaire responses for purposes related to you or your services.

We safeguard respondents’ email addresses

To make it easier for you to invite people to take your surveys, you may upload lists of email addresses, in which case the Qualia, as a data processor, acts as a mere custodian. This information will be used only as directed by you, as data controllers, and in accordance with our Policies and Terms of Use.

Response data is stored on servers located in the Frankfurt, Germany.

We use DigitalOcean to store response data of your questionnaires and Amazon AWS data centers to store data file uploads.
