Handling your personal information and data.

Overview

This privacy policy explains how Qualia handles your personal information and data. We value your trust, so we’ve strived to present this policy in clear, plain language instead of legalese. The policy is structured so you can quickly find answers to the questions that interest you the most.

This privacy policy applies to all the products, services and websites offered by Qualia and affiliate or subsidiary brands, except where otherwise noted. We refer to those products, services and websites collectively as “services” in this policy. Some services have supplementary privacy statements that explain in more detail our specific privacy practices in relation to them. Unless otherwise noted, services are provided by Qualia Analytics, LLC (Registered in California) inside of the United States and Canada, and by Qualia Analytics Limited (Registered in Ireland) everywhere else.

1. What information does Qualia Analytics collect?

1. Information Collected Directly From You

Research purpose & data use. When responding to surveys hosted by Qualia, we collect information on behalf of survey creators relating to you and your use of services.  Invitations to respond to a questionnaire may either be sent from us (Qualia Analytics), research initiatives (SciWise, ZooWise, Methods for Change) or our Customers. The research purpose may not be immediately obvious to you in questionnaires. If you have questions about the research purpose, you may email the investigator noted on the questionnaire invitation, or survey@qualianalytics.org.

Providing your responses is voluntary. A questionnaire may ask you to provide personal information or data. Remember, you can always choose not to provide an answer to any question, especially those requesting your personal information you feel uncomfortable giving. For personal questions designed by Qualia Analytics, you will usually be provided with an option for “Prefer not to say” which allows you to opt-out from that question. However, sometimes questions will be marked as required* and failing to provide an answer may prevent you from completing or submitting the questionnaire.

Anonymous information. Each questionnaire will have different questions or personal identifiers. If a questionnaire contains questions on your name or email address, this personal information will be collected as data upon submission; however, the technical capacity of the Qualia allows this information to be automatically hidden from view for administrators and institutional users. This option can be generally applied to all meta-data,  whenever you fill in a survey, including the information collected from other sources.

2. Information Collected From Other Sources

Usage data. Information about how you interact with a questionnaire will be collected automatically by the Qualia platform. This information may include which webpages arrived from, what you click on in our questionnaire, and when you perform certain actions, and so on.

Device data. Information about the device or web browser you use to access a questionnaire will usually be collected.

Email address. Your email address will be processed when it has been provided to us. The Qualia platform will use this information to send you email invitations or reminders automatically, except when the direction of a survey creator/Customer directors the platform to do otherwise.

Aggregate response data & activity. Responses you submit are usually collected, processed and stored for ongoing analysis and reports. The Qualia platform will automatically aggregate responses, activities and behaviors of Respondents.

Usage patterns & response trends. Aggregate response information may be used by Qualia Analytics’ staff, such as our highly qualified data analysts, to identify response trends or improve the functionality of our questionnaires, products, platform, services, etc.


2. How does Qualia Analytics use the information we collect?

Your survey responses are owned by the Customer, and we treat that information as private to them, except if there are questions and responses available via a public link.

Please contact the Customer directly to understand how they will use your survey responses. Some Customers may provide you with a privacy policy or notice at the time you take their survey and we encourage you to review that to understand how the survey creator will handle your responses.

If you are visiting from Europe, the data controller for the survey that you are participating in will be accurately identified in each form in an opt-in question or privacy notice messages.

Qualia Analytics does not sell survey responses to third parties without the survey creator’s permission and we do not use any contact details collected in our customers’ surveys to contact survey respondents.

We also use the information we collect from you (including usage data, device data, referral data and information from page tags) to manage and improve our services, for research purposes, and for the various purposes described in the Customer version of this privacy policy.


3. With whom do we share or disclose your information?

Qualia Analytics does not sell your survey responses unless you expressly permit us to!

We disclose:

  • Your survey responses to the Customer. Anything you expressly disclose in your survey responses will, naturally, be provided to them. Please contact the Customer directly to understand how they might share your survey responses. Please see the Customer version of this privacy policy to understand what Qualia Analytics tells them about how we handle survey responses, and to whom Qualia Analytics may disclose survey responses.

4. What are your rights to your information?

Rights which you are entitled to are:

To exercise your rights as a respondent, you may access the Respondent Portal by clicking here. The Respondent Portal will require that you type the email address you have used when completing the survey. To verify your identity, we will send a link to your email address, and by clicking on it you will be able to access your completed surveys and exercise your rights over your personal data.

5. Security, cookies and other important information

Changes to this privacy policy. We may modify this privacy policy at any time, but if we do so, we will notify you by publishing the changes on this website. If we determine the changes are material, we will provide you with additional, prominent notice as is appropriate under the circumstances, such as via email or in another conspicuous manner reasonably designed to notify you. If, after being informed of the changes, you continue to use our services beyond the advance-notice period, you will be considered as having expressly consented to the changes in our privacy policy. If you disagree with the terms of this privacy policy or any updated privacy policy, you may close your account (if you have one) at any time or not respond to a survey.

Security. Details about Qualia Analytics’s security practices are available in our Security Statement. We are committed to handling your personal information and data with integrity and care. However, regardless of the security protections and precautions we undertake, there is always a risk that your personal data may be viewed and used by unauthorized third parties as a result of collecting and transmitting your data through the internet.

Cookies. We use cookies on our websites. Cookies are small bits of data we store on the device you use to access our services so we can recognize repeat users. Each cookie expires after a certain period of time, depending on what we use it for. We use cookies for several reasons:

To make our site easier to use. If you use the “Remember me” feature when you sign into your account, we may store your username in a cookie to make it quicker for you to sign in whenever you return to Qualia Analytics.

For security reasons. We use cookies to authenticate your identity, such as confirming whether you are currently logged into Qualia Analytics.

To provide you with personalized content. We may store user preferences, such as your default language, in cookies to personalize the content you see. We also use cookies to ensure that users can’t retake certain surveys that they have already completed.

To improve our services. We use cookies to measure your usage of our websites and track referral data, as well as to occasionally display different versions of content to you. This information helps us to develop and improve our services and optimize the content we display to users.

Social Media Features. Our websites may include social media features or widgets, such as the Facebook Like button. Use of these features may allow them to collect your IP address, detect which page you are visiting on our site, and set a cookie to enable the feature to function properly. Your interactions with these features are governed by the privacy policy of the third party providing it.

Safety of Minors and COPPA. Our services are not intended for and may not be used by minors. “Minors” are individuals under the age of majority in their place of residence. Qualia Analytics does not knowingly collect personal data from minors or allow them to register. If it comes to our attention that we have collected personal data from a minor, we may delete this information without notice. If you have reason to believe that this has occurred, please contact the Research Team as soon as possible.

Qualia Analytics is a registered data processor(ZA148901) with the Information Commissioner’s Office (ICO). We are fully compliant with the Data Protection Act of 1998, Safe Habours, and GDPR.
